Data Team's Sep & Oct Updates

We’ve been super busy over the last couple of months, so much so that I skipped sending out the usual update last month. Therefore, we’ve got 2 in one this month, covering September,October (and some recent November activity also).
A big shout out to the team Paul Fenton Pranay Kamtam Amala Krishnan and thanks to everyone else who has been involved!
Key Activity Summary:
• ‘Smokefree 1SFH and 365 dashboards’ With Data from Jan 2023 (Referral or Quit Date) Now Available
• NDPP New Features / Improvements – Milestone 9 data and new ‘data quality’ dashboard pages to monitor and support new process for identifying and rectify data entry/quality issues ahead of submissions.
• Local Authority Reference Data – capability to report at Local Authority level
• Power BIFAQs / How To Guides – articles and FAQs now available on Freshdesk (or search‘Power BI’)
• New Dashboards Live – Brighton interim dashboards, NOTC move more ‘merged’ dashboard (combining data for external and internal move more pathways). Adding IMD reference data to interim dashboards for quarterly reporting.
• Existing Dashboard Improvements / New Features – consistent colour-coding all date slicers across all dashboards, additions to OYES MPR dashboard, OYS Smoking Quarterly updates
• Data Email Notifications – alarm us to changes in data that require action
• BAU –Quarterly/Monthly Reports and ad-hoc data requests
September/October Update:
Smoke Free 1SFH and 365 Dashboard with Data From Jan 2023 Now Available!
• Smokefree data for services on 1SFH (OYES, Kingston, Kensington, Westminster) have been added to the ‘smoke free (1SFH and 365)’ dashboard, enabling a cross-TT,cross-system view across all our smoking data for the first time!
• We were able to do this as we’ve now introduced 1SFH data into the data warehouse –this also means we can access this data more easily and combine this with other data in the data warehouse (e.g. postcode reference data).
• Data is currently included in the dashboard for all records where the referral or quit date is on or after 1st Jan 2023.
• This has already proved valuable for several teams, including the ‘gloji smoke free ’remote team whose advisors work with services that operate on both systems.
• 26/52-weekdata and insights unlocked (this was previously unavailable for 365 data – itis now available for 1SFH and 365 smoke free data.
• Swap To Stop scheme logic added.
NDPP New Features / Improvements
• Introduction of Milestone 9 data, including these in the NDPP dashboard and in various relevant monthly annex reports
• 2 new‘Data Quality’ pages added to the NDPP Ops Dashboard to:
1) highlight recurring data entry issues and identify any trends relating to these,
2) to identify and correct records where milestone payments are due pre-emptively
Local Authority Reference Data
• Addition allocation (postcode)-based reference data introduced allowing us to now reportat Local Authority level (contracts now increasingly reporting at LA level and moving away from CCG level)
• New commissioner-provided reference dataset updated for OYES postcodes.
Power BI FAQs / How To Articles
• Articles and FAQ’s now available on Freshdesk (or search ‘Power BI’)
• Including How To: export, use filters, use drill through, subscribe to a Power BI Report (so you can monitor dashboard pages with snapshots sent directly to your email– I would suggest HOS set this up for certain dashboard pages they want to monitor on a daily or weekly basis), and more

New Dashboards Live
• Brighton interim dashboards published for:
o CWM
o LD
o Pregnancy
• Merged data from 4 separate Sharepoint lists into a single Nottingham City move more dashboard (combining data for external and internal move more pathways).
• Added IMD reference data to all interim dashboards for quarterly reporting and monitoring.
• These interim dashboards provide pathway leads with a view of activity and outcomes until these pathways become available in Dynamics. They also provide a way of monitoring and identifying gaps / incorrect data and rectifying this on an ongoing basis to uphold data quality.
Existing Dashboard Improvements /New Features
• We’ve added consistent colour-coding for date slicers all dashboards – this makes it super clear which date dimension the data is currently being filtered by (e.g.Referral date=dark blue, Intervention start date=green, Lead Created Date=light blue, Health Assessment Completed Date=pink)
• OYES MPR improvements - added capability to display Active Hastings and move more data on OYES MPR for these newly started pathways, updated dashboard connections removing some manual data entry steps
• OYS Smoking Quarterly dashboard improvements – now fully aligned to all new contract KPIs (including adding new data capture to 365, data warehouse and dashboards)
Data Email Notifications
• We have set up several email notifications to alarm us to specific changes in data that require action on the data / other teams (e.g. new coaches added to 365, NDPP multiple active journeys, new Dynamics values).
• This means that the changes are now picked up automatically and can then be quickly resolved., whereas previously we would only know about this once someone noticed that there was data missing from dashboards.
• This improves data quality, reduces dashboard downtime and missing data.
BAU Reports & Ad-hoc Data Requests
• Supporting services with multiple ad-hoc data requests, in addition to:
• Quarterly Reports (inc. 1st time submissions for newservices (Hackney and CoL DOH, Nottingham City DOH))
• NDPP Monthly Reports
• CSDS Monthly Reports
• Providing data supporting Mental Health JNSA
